This notice explains what personal information Profit Point Hospitality uses, why it is used and the choices available to you.

Who is responsible for your information
Apron Recruit Ltd, trading as Profit Point Hospitality, is the controller of personal information used for enquiries, platform accounts and use, hospitality advisory relationships, and administration of the PPH Client Portal. Apron Recruit Ltd is registered in England and Wales under company number 11628487.

Information we may collect
- Contact details, including your name, business name, email address and telephone number.
- Information you provide in an enquiry, through use of the platform, or during a hospitality advisory relationship.
- Client Portal account, access and security information.
- Business records you choose to enter or upload, including food and beverage recipes or products, supplier information, invoices, allergen records, sales, purchases, stock, GP, labour or wage reports and action plans.
- Review status, corrections and calculated management figures produced from information entered or approved in the Portal.
- Limited technical information needed to operate, protect and troubleshoot the website and portal.
Why we use it
- To respond to enquiries and take steps you request before entering a contract.
- To agree, deliver and administer platform access, platform services and hospitality advisory services.
- To protect the portal, prevent misuse and keep client workspaces separate.
- To meet legal, accounting and regulatory obligations.
- To pursue legitimate business interests such as service administration, record keeping and improving the platform and operational support, where those interests do not override your rights.
We do not sell personal information or use enquiry information for unrelated marketing.
Who may process it
Information may be processed by carefully selected providers used to host and operate the website and portal, including website infrastructure providers and Supabase for portal authentication, database and file storage. It may also be shared with professional advisers or public authorities where this is necessary or legally required.
Some providers may process information outside the UK. Where that happens, appropriate contractual or legal safeguards will be relied upon.
How long we keep it
Unsuccessful or preliminary enquiries will normally be retained for up to 24 months after the last meaningful contact. Records connected with contracted services may be retained for up to six years after the relationship ends where needed for contractual, accounting or legal purposes. Portal content will be reviewed when access ends and deleted or returned when it is no longer reasonably required, subject to any legal retention requirement.
Security and client workspaces
Information uploaded to the PPH Client Portal is kept within the relevant client workspace. Access is authenticated, database records are separated by business using access controls, and uploaded documents are held in private storage. Administrative access is limited to authorised PPH management. No online service can promise absolute security, so clients should only upload information needed for their agreed platform or advisory use.
Accuracy and review
Invoice or labour information interpreted from an uploaded document is treated as awaiting review until it has been checked and approved. Indicative figures are labelled where stock movement or another part of the source data is unavailable. Clients remain responsible for checking source records and confirming safety-critical allergen information.
Website measurement
The public PPH website does not currently record optional analytics events. If website measurement is introduced again, this notice and the website's consent arrangements will be reviewed before that processing begins.
Your rights
Depending on the circumstances, you may have rights to access, correct, erase or restrict use of your information, object to certain processing, or receive information in a portable form. Contact PPH using the email above. You may also complain to the Information Commissioner's Office.
Changes to this notice
This notice will be updated when the website, portal or data-handling arrangements materially change.
